Festival and Event Production Coordinator

Jazz House Kids seeks an energetic Festival and Event Production Coordinator to contribute to all aspects of event production at this highly regarded, award-winning community arts organization. Reporting to the Manager of Operations + Special Projects, the Festival and Event Production Coordinator will help to ensure that Jazz House Kids’ events are efficiently and successfully produced at a high level of quality that satisfies the requirements of all stakeholders.

This is a part-time (25 – 30 hours per week) seasonal position. The position requires periodic weekend and evening work related to concerts, special programs, fundraising events, and an annual jazz festival in mid-August. The successful candidate will have the satisfaction of contributing to important fundraising efforts related to advancing the mission of a growing, highly visible music education and performance organization. Through these efforts, the organization will be able to continue to develop the next generation of music makers, community leaders and global citizens. Principal Duties:

Work with the Director of Operations + Special Projects to plan and execute key signature events produced by Jazz House Kids. Responsibilities include:

1. Assist in the developing event management plan with specific timelines and responsible party for each project

2. Assist in developing specific project plans including the pro forma and budgeting

3. Provide a key role in planning meetings encouraging collaboration, new creative ideas and identifying next steps to multiple projects

4. Collaborate on the development of various and administrative items such as promotional materials, transportation logistics, production schedules, and signage

5. Provide clear direction and expectations for part-time employees, interns, volunteers and contractors responsible for the execution of a quality production

6. Support Director of Operations + Special Projects to coordinate event space, exhibitors, catering, rentals, travel arrangements, and other tasks required for quality event production

7. Serve as the liaison for vendors on event related matters

8. Support Director of Operations + Special Projects to coordinate onsite production activities during the events including setup, implementation, and breakdown

9. Develop a comprehensive post-event report following the event

Qualifications:

  • Minimum of five years music festival or event production experience, preferably at an arts organization
  • Experience planning the operations aspects of large music festivals or film festivals strongly preferred
  • Bachelor’s degree required
  • Able to work independently with little direction when necessary
  • Able to create new protocols, processes, and procedures as needed
  • Excellent creative thinking and problem solving skills
  • Excellent team player with a “can-do” attitude
  • Ability to manage competing priorities effectively
  • Excellent computer skills and familiarity with office software programs
  • Exceptional time management and organizational skills
  • Experience using project management software and planning tools
  • Ability to communicate with individuals at all levels of an organization
