The Administrative Clerk reports directly to the Administrator and also works on special projects for the Sacramento Firm Directors. The Administrative Clerk works directly with the Administrator to address administrative requests and to ensure the two firms maintain a conflict-free ethical screen.
Duties include responsibilities in the following areas:

Receive daily mail and deliveries to the office

Troubleshoot all CLC equipment including but not limited to scanners, fax machines, telephones, copy machines, and printers. Advise the CLC IT Administrator of any problems with CLC computers or equipment that needs repair

Prepare press kits/legislation packets, including keeping necessary supplies in stock

Assist Executive Director with administrative needs as directed

Assist with trainings by calendaring on Sacramento public calendar, preparing handouts, and arranging meeting space when necessary

Maintain CLC Sacramento public calendar by inputting scheduled meetings and sending Outlook invitations as needed.

Ensure that all office forms are maintained and kept updated. (e.g. office rosters, state bar information, home/mobile rosters)

Initial daily and weekly calendars retrieved from the court run by identifying the correct attorney from JCATS and e-mail to CLC attorneys

Distribute all initialed documents to each staff member

Answer the main telephone line and direct callers to appropriate staff members and others as needed

Receive office visitors and direct them to appropriate staff members

Search JCATS for case information as needed

Set up video conference equipment for meetings and conferences as requested

Update all library materials and keep library organized

Organize and plan document destruction for closed files

Receive supplies and organize in Administration storage

Distribute office supplies to firm secretaries as requested

Organize client donation closet items and maintain donation lists as required

Hang pictures and perform other minor maintenance tasks for employees

Do light maintenance work and cabinet repair

Move light tables, chairs and computer equipment as needed

Other duties and responsibilities as requested by Executive Director and Director of Operations.

The Administrative Clerk must be able to lift 25 to 30 pounds, and have the ability to handle multiple workload requests in a single day. The Administrative Clerk must be detail oriented, and have the ability to keep accurate files of all records that are processed. The Administrative Clerk must be computer proficient with all Microsoft Office applications, and have an ability to create Excel spreadsheets.
The Administrative Clerk must have excellent written and verbal communication skills, and be able to get along with all employees in the organization. She or he will be approachable, diplomatic, and comfortable working in teams, and individually.
The Administrative Clerk is required to have a reliable automobile, valid California driver’s license and automobile insurance as required by California law at all times while working for CLC.
