The Division of Finance & Administration (DFAM) at UNICEF HQ strives to provide relevant, accurate and timely information to the UNICEF executive leadership to facilitate robust decision-making and strategic direction recognizing the needs of children across the world. The DFAM overall objective is to ensure that Financial resources are fully attributed to the Strategic Plan results chain, made available in a timely manner, used effectively and efficiently within an optimized organizational structure which is ‘fit for purpose’. This is achieved through periodic measurement and transparent reporting of financial and administrative performance, and the development and application of risk-informed policy, improved procedures and innovative systems.

How can you make a difference?

The incumbent of this post will assist the Facilities Management Coordinator as well as the Chief, Facilities Management Services in administration, monitoring and automation of all IT applications including service ticketing system, access control systems, and other building and maintenance third-party software with a focus on improving efficiency and standardization. This role supports the services provided by the Facilities Management Help Desk which supports over 1,400 staff members in New York on a daily basis.

  • Provide direct guidance and daily oversight for Facilities Management Help Desk services and systems in the use of all IT applications, service ticketing system, access control systems, and other building and maintenance third-party software.
  • Supervise the Help Desk in monitoring various points of contact for service requests via Sharepoint, electronic standard access forms (eSAF), service manager, in-person, by phone, and Help Desk Outlook mailboxes. Submit all Facilities IT Global Broadcast Messages.
  • Monitor all service requests and assist in expediting resolution of request for building services

  • SharePoint Administrator of the Facilities Management Help Desk Website and periodically review design, customization and content of Help Desk SharePoint team site.
  • Monitor proper usage of service requests in the Service Manager application. Ensure that all received service requests for building and maintenance services, security services, engineering services, and other miscellaneous services are properly classified, registered, correctly dispatched, completed within established parameters, and requestors are informed once service requests are resolved. Escalation of high level requests to supervisor for further review.
  • Management and usage of Access Control Systems, Badging System, eSAF and Space Planning Applications for all NYHQ Staff
  • Prepare periodic statistics and reports of service requests.
  • Review, approve and monitor all room requests and manage all high level events, ensuring that arrangements are finalized in a timely manner in relation to room setup, audio / video, air, cleaning, and security coverage.
  • Management of all Certificates of Insurance requests to ensure they are approved for outside vendors scheduled to provide services for events.
  • Perform any other tasks and activities as required by DFAM Administrative Services Section and Facilities Management Section.

  • Completion of secondary education. University level courses in Computer Science, Business Administration or equivalent specialized training is considered an asset.
  • A minimum of six years of relevant experience in providing progressively responsible administrative support services, preferably with a focus in facilities support services or customer support.
  • Working knowledge of UNICEF systems, especially Service Manager, SAP/VISION, Access Control Systems, eSAF, or MS SharePoint is considered an asset.
  • Passing the GGST Exam (Global General Service Test) or UN ASAT in English is required.
  • Non-US candidates must be in possession of a US G4 visa or be a US permanent resident/citizen.
  • Fluency in English is required. Knowledge of another official UN language (Arabic, Chinese, French, Russian or Spanish) or a local language is an asset.
