UNICEF Copenhagen is looking for (2) two Procurement Assistants for Supply Centre in New York at the GS-6 Level on Temporary Appointment to support Management Services and ITSS.

  • Procurement Assistant – ITSS Related Services
  • For every child, a commitment…The Procurement Assistants will be responsible for assistance for procurement for a wide range of services, covering Management Services/Academia and IT related services. Both roles will be providing effective services to customers, ensuring accurate and timely processing of Requisitions and requests up to the completion and closure of the contracts, with the overall goal of meeting the needs and requirements of the customers.How can you make a difference?

  • Review and evaluates incoming Purchase requisitions to ensure quality and adequacy of information, Statement of Works/Terms of Reference, appropriateness of requests, delivery dates, material groups and budgets.
  • Review SOWs/TORs and requirements with customers, and the Technical counterparts to ensure completeness and appropriateness.
  • Draft and prepares tender invitations. Assists with preparation of CRC submissions. Draft and prepares Institutional Contracts. Assist with and prepares Long Term Agreements (LTA’s).
  • Monitor the status of NYHQ Divisions contracts and center specific KPIs. Pro-actively follows up on placed contracts with all parties concerned in order to ensure timely delivery of services. Transmit all relevant information to customer including changes to planned deliverable.
  • Assist with the provision of procurement technical support to NYHQ Divisions/ costumers on procurement of services including timely processing queries in Service Manager.
  • Maintain a data base of interagency LTAs and Contracts for implementing collaborate procurement.
  • Assist with contract negotiations including terms and conditions for compliance with UNICEF policies.
  • For IT related services; effective processing and negotiation of software purchases and review of contractual and legal terms to ensure that UNICEF contracts are issued in accordance with standard or negotiated provisions.
  • Undertake market research to maintain an updated list of invitees and keep record on market trends for services under their responsibility.
  • Participates in planning exercises and assist with maintaining updated procurement plans.

  • Completion of Secondary Education (e.g. High School Diploma) is a minimum requirement.
  • A minimum of six (6) years of progressively responsible work experience in provision of administrative support services is required.
  • Prior service contracting or procurement of IT goods and services is highly desirable.
  • Working knowledge in the Microsoft Suite of Products (including MS Word, MS Excel & MS PowerPoint) is highly desirable.
  • Fluency in English (verbal & written) is required. Knowledge of an additional UN Language (Arabic, Chinese, French, Russian, Spanish) is considered an asset.
