How can you make a difference?

The Executive Assistant reports directly to the Director in the Director’s Office of the Office of Emergency Programmes (EMOPS). The post is a key interface with a broad range of contacts, including high-ranking officials, both within and outside the Organization.

  • Research and make available background information for the Director and Manager to compile reports.
  • Formulate draft replies to routine correspondence for his/her approval/signature.
  • Review correspondence/documents for conformity with established procedures and accuracy of statements before being signed by the supervisor.
  • Establish internal tracking systems and procedures for correspondence and documents;
  • Arrange appointments and maintain supervisor’s calendar, receives visitors, places and screens telephone calls and respond to queries with discretion.
  • Identify complex or sensitive subjects, and contacts, as well as priority issues that should be brought to the attention of the Supervisor or Senior-Level Managers.
  • Arrange meetings, prepare briefing materials for supervisor, and maintain contact list of external partners.
  • Provide logistical support for meetings: assist in booking conference rooms, arrange IT support, production and distribution of materials, etc., and arrange for catering when applicable.
  • Undertake all aspects of travel arrangements for the Director. This includes travel itineraries, preparation of travel requests, security/medical clearances, visas; completion of travel claims, duty reports.
  • Keeps abreast of latest policies, procedures and organizational changes affecting the Team.

    Completion of secondary education.

  • At least 5 years of relevant work experience in an administrative capacity.
  • Working knowledge of UNICEF systems, policies and procedures is considered an asset.
  • Strong writing, interpersonal and communications skills are required.
  • Passing the GGST Exam (Global General Service Test) or UN ASAT in English is required.
  • Non-US candidates must be in possession of a US G4 visa or be a US permanent resident/citizen.
  • Fluency in English is required. Knowledge of another official UN language (Arabic, Chinese, French, Russian or Spanish) or a local language is an asset.
